Privacy policy

What we collect, why we collect it, and how you stay in control. Last updated 23 September 2026.

Phy Travellers SMC Ltd (“Phy Travellers”, “we”) is based in Kisementi, Kampala, Uganda. We handle personal information under Uganda’s Data Protection and Privacy Act, 2019. Where we serve travellers from the European Union or the United Kingdom, we also respect the rights they have under the GDPR.

What we collect

  • Enquiry details you send through our contact form, email, WhatsApp or phone: your name, email address, phone number, travel dates, group size, interests, how you found us, and anything you add in your message.
  • Booking details we need to arrange your trip: full names as shown on passports, passport numbers and nationality (the wildlife authorities require these for gorilla and chimpanzee permits), dates of birth, flight details, dietary needs, and any health or mobility information you choose to share so we can plan safely.
  • Payment records: amounts, dates and payment method. Card payments are handled by the card processor or PayPal, and we do not store full card numbers.
  • Basic technical data kept automatically by our web host’s server logs, such as IP address, browser type and pages visited, used to keep the website secure and working.

How we use it

  • To answer your enquiry and prepare a quotation.
  • To book your trip: permits, lodges, vehicles, flights and transfers.
  • To contact you before and during your trip.
  • To meet legal, tax and accounting duties.
  • With your permission only, to send you occasional travel news or offers. You can opt out at any time.

We never sell your personal information.

Who we share it with

We share only what is needed to deliver your trip, with:

  • Wildlife and park authorities (Uganda Wildlife Authority, Rwanda Development Board, Kenya Wildlife Service, Tanzania National Parks, and the Congolese Institute for Nature Conservation) for permits and park entry.
  • Lodges, hotels, airlines, and partner guides or drivers who provide your services.
  • Banks, Mobile Money providers and payment processors, to handle payments.
  • Government authorities, when the law requires it.

Some of these providers are outside Uganda. We share information with them only as needed to deliver the service you asked for.

Services this website uses

  • WhatsApp (Meta): if you choose “Send via WhatsApp” or tap a WhatsApp button, your message goes through WhatsApp and is covered by WhatsApp’s own privacy policy.
  • Email: if you choose “Send by email”, your enquiry is emailed to our team’s inbox.
  • Google Fonts and Google Translate: used to show text and offer the page in other languages. Google may receive your IP address. The translate tool sets a small cookie that remembers your chosen language.
  • Maps and images: our map comes from OpenStreetMap, and some photos are loaded from Unsplash. These services may receive your IP address when the page loads.

We do not currently use advertising or analytics tracking cookies on this website.

How long we keep it

If you enquire but do not book, we delete your enquiry after two years. For completed bookings, we keep records for as long as Ugandan tax and accounting law requires (generally up to seven years) and then delete them. We delete passport and health details once they are no longer needed for your trip.

Keeping it safe

Only staff who need your information to arrange your trip can see it. We use password-protected accounts and take reasonable steps to protect your information from loss or misuse. No system is perfectly secure, so please avoid sending card numbers by email or WhatsApp.

Your rights

You can ask us to show you the personal information we hold about you, correct it, delete it, or stop using it for marketing. Email ticco256@gmail.com and we will respond within 30 days. If you are not satisfied with how we handle your request, you can complain to Uganda’s Personal Data Protection Office (part of NITA-U), or to the data protection authority in your own country.

Changes to this policy

We may update this policy as our services change. The date at the top always shows the latest version.
